That emails you send through our platform should be sent through your Google address rather than through a generic @bookr.fm address. This allows you to see the history of emails sent from Bookr.fm in your Gmail application, and also ensures that your customers receive emails in your name rather than from a Bookr.fm address;That Bookr.fm can create a 'bookr.fm' calendar in your Google account for us to synchronise the events and appointments that you create on our platform.
These procedures will be carried out via the official Google APIs, and under no circumstances will we use, store, or share your Google data.

Part I - Information Collected and Controlled by Bookr.fm

We only collect the information we really need. This includes the information you actively provide to us when you register an account, register for an event, request customer support, or purchase something from us. We store your name and contact information, but we do not store credit card numbers (except with your permission, and on one of our secure payment gateways).
When you visit one of our websites or use our software, we automatically record certain basic information; for example, how you got to the website, the pages you visited, and the features and settings you use. We use this information to improve our websites and services, and to encourage the development of new products.
We sometimes receive information indirectly. When you make enquiries about our products through one of our referral programmes or our reseller partners, or if you sign in to one of our products through the authentication service of a provider such as LinkedIn or Google, they send us your contact information. We then use this information to respond to the request you have made. If you interact with our brand on social media (for example, by clicking 'Like', commenting, retweeting, mentioning or following us), we will have access to your interactions and profile information. We will continue to keep this information, even if you later remove it from the social media sites.

What we do with your information

We use your information to provide you with the services you have requested, to create and manage your accounts, and to monitor unauthorised activity on them. We also use it to communicate with you about the products you are currently using, to process your customer support requests, to introduce you to new products that you may like, to provide you with the opportunity to provide feedback, and to inform you of policy updates. We analyse the information we collect in order to understand user needs, and to improve our website and services.
We are required to have a legal basis to collect and process your information. In most cases, we either have your consent, or we need this information to provide the service you have requested from us. When this is not the case, we must demonstrate that we have another legal basis, such as our legitimate business interests.
You can opt out of certain types of use of the information, either by not providing that information in the first place, or by choosing to opt out later on. You can also disable cookies to prevent your browser from providing information to us. Please be aware, however, that in this case certain features of the website may not function properly. We completely disable third-party cookies from all Bookr.fm websites and products.
Access to your personal data is limited to employees and contractors who have a legitimate need to use it. If we share your information with other parties (such as developers, service providers, domain name registrars, or reseller partners), they must have appropriate security measures and a valid reason for using your information, generally to ensure your satisfaction.
The European Economic Area (EEA) lays down certain rights for data subjects (in particular a right of access, rectification, erasure and limitation of processing, as well as data portability, and the right to object and file a complaint). Bookr.fm is committed to providing you with the same rights, regardless of where you live.
We keep your personal data for as long as necessary for the purposes indicated in this Privacy Policy. When we no longer have any legitimate need to process your information, we will ensure that we delete, anonymise or isolate it, as appropriate.

Part II - Information processed by Bookr.fm on your behalf

When you manage the data of others who use Bookr.fm applications, such as information about your customers or employees, you entrust that data to us for processing. If you use a Bookr.fm mobile application and give it access to your contacts or a photo library, you entrust us with this data. Data that you entrust to us for processing is referred to as 'service data'.
You are the owner of your service data. We protect it, restrict access to it, and only process it in accordance with your instructions. You can access it, share it through third-party integrations, and request that we export or delete it.
We keep the data in your account for as long as you choose to use Bookr.fm Services. Once you terminate your account, your data will be deleted automatically from our active database within 6 months, and from our backups within an additional 3 months.
If you are located in the European Economic Area and believe that someone has entrusted your information to us for processing (for example, your employer or a company whose services you use), you can ask us to take certain measures concerning your data. To exercise these rights relating to your data, please contact the person or company who entrusted us with the data, and we will endeavour to reply to your request together.

Part III - General information

There are certain limits to the confidentiality that we can promise you. We will disclose personal data if it is necessary to comply with a legal obligation, prevent fraud, enforce a contract, or protect the safety of our users. At this time, we do not recognise 'Do Not Track' (DNT) signals from Internet browsers; when a universal standard for handling these signals is established, we will adhere to it.
Third-party sites and social media widgets have their own privacy policies. Always check the relevant privacy policy before sharing your personal data with third parties.
You can always contact us to: ask questions about our privacy practices; request a Data Processing Amendment in accordance with the General Data Protection Regulation (GDPR); notify us if you believe that we have collected personal data from a minor; or request that your personal data be removed from our blogs or forums.
We will contact you if we make any material changes to our privacy policy, or in the highly unlikely event that we decide to sell our business.

Bookr.fm's Privacy Commitment

Bookr.fm respects the privacy of customers and users. We ask for as little information as possible, and only collect the necessary data that is deemed essential to carry out our activities, or for the specific transaction in progress. We inform customers of the information we have about them, and we allow them to opt out of certain specific activities.
The purpose of this policy is to define clearly what personal data we collect about our customers and users, how we use it, and how we do not use it. This policy is unfortunately longer than we would have liked, but we must deal unambiguously with all relevant cases. We will try to use language that is as simple and straightforward as possible.

This privacy policy applies to all websites that contain a link to it. It also applies to the products and services offered by Bookr.fm through these websites, our mobile applications, and applications posted by Bookr.fm on the Bookr.fm online marketplace and other third-party online marketplaces. This privacy policy does not apply to any of our websites, products or services which have their own privacy policies.

Scope of this Privacy Policy

Part I - Information collected and controlled by Bookr.fm

This part deals with how Bookr.fm collects and uses information about website visitors, potential customers, users of Bookr.fm products and services, and others who contact Bookr.fm through forms or email addresses published on or linked to our websites.

Part II - Information processed by Bookr.fm on your behalf

This part deals with how Bookr.fm handles the data you entrust to Bookr.fm when you use our products and services, or when you share personal or confidential data with us when requesting customer support.

Part III - General information

This part covers topics that are relevant to both Parts I and II and other general topics, such as Bookr.fm's security commitments, and how we will notify you if we change this Privacy Policy.

Information collected by Bookr.fm

We only collect information about you if we need the information for a legitimate purpose. Bookr.fm only holds information about you if a) you provided this information yourself, b) Bookr.fm automatically collected this information, or c) Bookr.fm obtained this information from a third party. We describe below the various scenarios that fall under each of these three categories, and the information gathered under each of them.
Information you provide to us
i. Account creation: when you register to create an account in order to access one or more of our services, we ask you for information such as your name, contact number, email address, company name, and your country in order to complete the account creation process. You will also need to choose a unique username and password to access the account created. You can also provide us with more information such as your photo, time zone, and language, but we don't need this information to create an account for you.
ii. Event registrations and other form submissions: We record the information you submit when you i) register for an event, including webinars or seminars, ii) subscribe to our newsletter or other mailing list, iii) submit a form to download a product, white paper or other materials, iv) enter contests or respond to surveys, or v) submit a customer support request form or contact Bookr.fm for any other purpose.
iii. Payment Processing: When you purchase something from us, we ask that you provide us with your name, contact information, and credit card information or other payment account information. When you submit your credit card information, we store the name and address of the cardholder, the expiration date, and the last four digits of the card number. We do not keep the actual number of the credit card. For prompt processing of future payments, and only if you have given us your consent, we may store your credit card information or other payment information in an encrypted format on the secure servers of our payment gateway service providers.
iv. Testimonials: When you allow us to post testimonials about our products and services on websites, we may include your name and other personal information in the testimonial. You will be given the opportunity to review and approve this testimonial before we publish it. If you want to update or delete your testimonial, you can contact us at: [email protected]
v. Interactions with Bookr.fm: We may record, analyse, and use your interactions with us, including email correspondence, telephone conversations, and chat-line conversations with our sales and customer support professionals to improve our interactions with you and other customers.
Information collected automatically
i. Browser, device and, server information: When you visit our websites, we collect information that web browsers, mobile devices, and servers make available, such as internet protocol address, browser type, language preferences, time zone, referral URL, access date and time, operating system, mobile device manufacturer, and mobile network information. We include this information in our log files to learn more about visitors to our websites.
ii. Information from first-party cookies and tracking technologies: We use temporary and permanent cookies to identify users of our services and to improve the user experience. We have incorporated unique identifiers into our downloadable products to track usage of those products. We also use cookies, tags, labels, scripts, and other similar technologies to identify visitors, to track website navigation, to collect demographic data about visitors and users, and to understand the effectiveness of email campaigns and involvement of visitors and targeted users by tracking your activities on our websites. We also use Local Storage Objects (LSOs), including HTML5 type, to store content preferences and information in order to provide certain functionality.
iii. Information from application logs and mobile analytics: We collect information about your use of our products, services and mobile applications from application logs and internal usage analytics tools. This information is useful for us to understand how the use and needs of your business can improve our products. The information analysed includes: clicks, scrolls, features used, access time and frequency, errors generated, performance data, storage used, user settings and configurations, devices used for access, and location.
Information collected from third parties
i. Registration using federated authentication service providers: You can sign in to Bookr.fm Services through supported federated authentication service providers, such as LinkedIn, Microsoft, and Google. These services authenticate your identity and give you the option of sharing certain personal data with us, such as your name and email address.
ii. Referrals: If someone has recommended any of our products or services to you through one of our referral programmes, that person may have given us your name, email address, and other personal information. You can contact us at [email protected] to request that we remove this information from our database. If you provide us with information about another person, or if another person gives us your information, we will only use that information for the specific reason for which it was intended.
iii. Information from our reseller partners and service providers: if you contact one of our reseller partners or otherwise express your interest in one of our products or services, they may pass on your name, your email address, company name, and other information to Bookr.fm. If you register for or attend an event that is sponsored by Bookr.fm, the event organiser may share your information with us. Bookr.fm may also receive information about you from review sites if you comment on a review of our products and services, and from other third-party service providers that we use to market our products and services.
iv. Information from social media sites and other publicly available sources: If you interact or engage with us on social media sites like Facebook, Spotify, Twitter, Google+, and Instagram through posts, comments, questions, and other interactions, we may collect publicly available information, including profile information, to enable us to communicate with you, improve our products, or better understand user feedback and issues. Please note that once collected, we may keep this information, even if you remove it from social media sites. Bookr.fm may also add and update information about you from other publicly available sources.

Purposes of the use of information

In addition to the purposes mentioned above, we may use your information for the following purposes:
to communicate with you (such as by email) about products you have downloaded and services to which you have subscribed, changes to this Privacy Policy, changes to the Terms of Service, or important notifications;to keep you informed of new products and services, upcoming events, offers, promotions and other information that we think may be of interest to you;to ask you to participate in surveys or request feedback about our products and services;to set up and manage your account, and perform any other actions necessary to provide our services, such as enabling collaboration, hosting a website or messaging, and backing up and restoring your data;to understand how users use our products and services, to monitor and prevent problems, and to improve our products and services;to provide customer support, and analyse and improve our interactions with customers;to detect and prevent fraudulent transactions and other illegal activities, report spam, and protect the rights and interests of Bookr.fm, Bookr.fm users, third parties, and the public;to update, expand and analyse our records, identify new customers, and provide products and services that may be of interest to you;to analyse trends, administer our websites, and track visitor navigation on our websites in order to understand what visitors are looking for and to better assist them;to monitor and improve marketing campaigns, and to make suggestions relevant to the user.

Legal bases for collecting and using information

Legal bases for processing applicable to Bookr.fm: if you are an individual from the European Economic Area (EEA), our legal basis for collecting and using the information depends on the personal data concerned and the context in which we collect it. Most of our data collection and processing activities are usually based on i) contractual necessity, ii) one or more legitimate interests of Bookr.fm or a third party which do not conflict with your interests in terms of data protection, or iii) your consent. Sometimes we may be required by law to collect your information, or we may need your personal data to protect your vital interests, or those of another person.
Withdrawal of consent: where we rely on your consent as a legal basis, you have the right to withdraw your consent at any time. This withdrawal has no impact on the processing operations already carried out.
Declaration of legitimate interests: Where we are relying on legitimate interests as a legal basis, and those legitimate interests are not listed above, we will make it clear to you what those legitimate interests are at the time we collect your information.

Your choice regarding the use of information

Opt-out of non-essential electronic communications: You can opt out of receiving newsletters and other non-essential messages by using the 'unsubscribe' option included in all messages of this type. However, you will continue to receive the most important transaction notifications and emails.
Disable cookies: You can disable browser cookies before visiting our websites. However, if you do so, you may not be able to use some functions of the websites properly.
Optional information: You can choose not to provide optional profile information, such as your photo. You can also delete or modify optional information from your profile. You can always choose not to complete non-mandatory fields when submitting a form linked to our websites.

Who do we share your information with?

Employees and independent contractors: Employees and independent contractors of all entities of the Bookr.fm group have access to the information referred to in part I on a need-to-know basis. We require all employees and independent contractors of the Bookr.fm group to adhere to this Privacy Policy for the personal data we share with them.
Third-party service providers: We may need to disclose your personal data and aggregated or de-identified data to third-party service providers that we use, such as marketing and advertising partners, event organisers, Web analysis providers, and payment processors. These service providers are authorised to use your data or personal data for the sole purpose of providing these services to us.
Reseller partners: We may share your personal data with our authorised reseller partners in your region, only for the purpose of contacting you about the products you have downloaded and the services you have subscribed to. We will give you the option of choosing not to continue working with a partner.
Other cases: other scenarios in which we may share the information referred to in parts I and II are described in part III.

Your rights regarding the information we hold about you as a Data Controller

If you are from the European Economic Area (EEA), you have the following rights with respect to the information Bookr.fm holds about you. Bookr.fm is committed to providing you with the same rights, regardless of where you live.
Right of access: you have the right to access (and obtain a copy of, if necessary) the categories of personal data that we hold about you. In particular, you have the right to know the source of the information, and the purpose and duration of the processing, as well as the persons with whom the information is shared.
Right to rectification: you have the right to update the information we hold about you, or to correct any inaccuracies. Depending on the purpose for which we use your information, you may ask us to add additional information about you to our database.
Right to erasure: you have the right to ask us to delete your personal data in certain circumstances, such as when it is no longer necessary for the purposes for which it was originally collected.
Right to restriction of processing: you have the right, in certain cases, to request the restriction of the processing of your data, for example if you object to our use of your data. However, we need to check whether we have compelling legitimate grounds for using it.
Right to data portability: you have the right to transfer your personal data to a third party in a structured, commonly used, and machine-readable format, once this information has been processed with your consent or by automated means.
Right to object: You have the right to object to the use of your information in certain circumstances, such as the use of your personal data for direct marketing purposes.
Right to lodge a complaint: You have the right to lodge a complaint with the appropriate supervisory authority if you have any grievances about our way of collecting, using, or sharing your information. This right may not be available to you if there is no data protection supervisory authority in your country.

Retention of information

We keep your personal data for as long as necessary for the purposes indicated in this Privacy Policy. It is possible that we may keep your data for a longer period, within the limits permitted or required by law (to manage suppression lists or prevent abuse, for example), if necessary, in the context of a complaint or legal proceedings, to enforce our agreements, for tax or accounting reasons, or to comply with other legal obligations. When we no longer have any legitimate need to process your data, we will delete it from our active databases or make it anonymous. In addition, we will store the data securely and isolate it to prevent further processing on backup disks until deletion is possible.

Part II - Information processed by Bookr.fm on your behalf

Information entrusted to Bookr.fm and purpose

Information provided as part of the services: You may entrust information to Bookr.fm that you or your organisation ('you') control, either in connection with the use of our services, or to request technical support for our products. This includes information about your customers and employees (if you are a data controller), or data that you hold and use on behalf of another person for a specific purpose, such as a customer to whom you provide services (if you are a subcontractor). Data may either be stored on our servers when you use our services, or be transferred to or shared with us as part of a request for technical support or other services.
Information from mobile devices: If you choose to allow it, some of our mobile apps may have access to the camera, call history, contact information, photo library, and other information stored on your mobile device. Our applications need this access to deliver their services. Similarly, if you choose to provide this access, georeferenced information will also be collected for certain purposes, including, but not limited to, locating nearby contacts, or setting up location-based reminders. This information will be shared exclusively with our mapping provider, and used only for the purpose of establishing a map of the places where users are located. You can turn off mobile application access to this information at any time by changing the settings on your mobile device. The data stored on your mobile device and the location information to which the mobile applications have access is used as part of the mobile application, and is transferred to and associated with your account within the services (in which case the data is stored on our servers), or corresponding products (in which case the data is held by you, unless you share it with us).
All information entrusted to Bookr.fm is collectively referred to as 'service data')

Ownership and control of your service data

We recognise that you own your service data. We provide you with complete control over your service data by giving you the ability to i) access your service data, ii) share your service data through supported third-party integrations, and iii) request the export or deletion of your service data.

How we use service data

We process your service data when you provide us with instructions through our various service modules. For example, if you create an invoice, information such as your customer's name and address will be used to generate the invoice; and if you use our campaign management service for email marketing purposes, the email addresses of people on your mailing list will be used for sending emails.

Push notifications

If you have enabled notification in our mobile and desktop apps, we will send push notifications to you through a push notification provider such as Apple's Push Notification Service, Google Cloud Messaging, or Windows Push Notification Services. You can manage your push notification preferences, or turn off these notifications by deactivating notifications in the app or device settings.

Who do we share service data with?

Employees and independent contractors: we may provide access to your service data to our employees and to persons who are independent contractors of the Bookr.fm group entities involved in the provision of the services (collectively our 'employees') so that they can i) identify, analyse and resolve errors, ii) manually check emails flagged as spam in order to improve spam detection, or iii) manually check the scanned images you send to us in order to verify the accuracy of optical character recognition. We ensure that our employees' access to your service data is restricted to specific individuals, and that it is logged and verified. Our employees will also have access to data that you have knowingly shared with us for technical support purposes or in order to import data into our products or services. We communicate our privacy and security guidelines to our employees, and apply strict personal privacy mechanisms within the Bookr.fm group.
Collaborators and other users: Some of our products or services allow you to collaborate with other users or third parties. By initiating a collaboration, you may allow other collaborators to see some or all of your profile information. For example, when you edit a document that you've shared with others for collaboration, your name and profile photo will appear next to your edits to let your collaborators know that it was you who made these changes.
Third-party integrations you have enabled: Most of our products and services support integrations with third-party products and services. If you choose to enable third-party integrations, you may allow these third parties to access your service data and personal data about you. Before enabling integration with third-party products and services, we strongly recommend that you review their privacy practices.
Other cases: other scenarios in which we may share information that falls under Parts I and II are described in Part III.

Retention of information

We keep the data in your account for as long as you choose to use Bookr.fm Services. If you terminate your Bookr.fm user account, your data will ultimately be deleted from the active database during the next clean-up, which we carry out once every 6 months. Data deleted from the active database will be deleted from backups after 3 months.

Requests from the data subject

If you are located in the European Economic Area and you believe that we store, use, or process your information on behalf of one of our customers, and if you wish to access, rectify, delete, limit, or object to the processing of your personal data, or to export it, please contact this customer. We will assist our customer to respond to your request within a reasonable time.

Part III - General information

Personal data of children

Our products and services are not intended for minors under the age of 16. Bookr.fm does not knowingly collect personal data from children under the age of 16. If we learn that a child under the age of 16 has provided us with personal data, we will take steps to delete it. If you believe that a child under the age of 16 has provided us with personal data, please write to [email protected] with full details. We will take the necessary steps to delete the data we may hold about this child.

'Do Not Track' requests

Some Internet browsers activate 'Do Not Track' features, which send a signal (referred to as a DNT signal) to websites you visit, telling them that you do not want to be tracked. Currently, there is no standard that governs what websites can or should do when they receive these signals. At this time, we do not take any action in response to these signals.

External links on our websites

Certain pages of our websites may contain links to websites that are not linked to this Privacy Policy. If you submit your personal data to any of these third-party websites, it will be governed by their privacy policies. For security reasons, we recommend that you do not share your personal data with these third parties, unless you have checked their privacy policies and ensured that you agree with their personal privacy practices.

Blogs and forums

We have publicly accessible blogs and forums on our websites. Please note that the information you provide on these blogs and forums may be used to contact you through unsolicited messages. We urge you to exercise caution when disclosing personal data on our blogs and forums. Bookr.fm is not responsible for any personal data you choose to publicly disclose. Your posts and some profile information may remain even after you have terminated your account with Bookr.fm. To request the removal of your personal data from our blogs and forums, you can contact us at: [email protected]

Social media widgets

Our websites include social media widgets such as Facebook and Spotify 'Like', and/or Twitter 'Tweet' buttons that allow you to share articles and other information. These widgets may collect your IP address as well as information about the pages you visit on the website, and create a cookie necessary for them to function properly. Your interactions with these widgets are governed by the privacy policies of the companies that provide them.

Disclosures in accordance with legal obligations

We may be required by law to retain or disclose your personal data and service data to comply with applicable laws or regulations, as part of legal proceedings or a government request, including to meet national security requirements.

Enforcement of our rights

We may disclose personal data and service data to a third party if we believe such disclosure is necessary to prevent fraud, investigate any suspected illegal activity, enforce our agreements or policies, or protect the safety of our users.

Business transfers

We do not intend to sell our business. However, in the unlikely event that we sell our business or become the subject of an acquisition or merger, we will ensure that the acquirer is legally bound to honour our commitments to you.
